Immigration practice operating system
From first enquiry to permanent residence, in one file.
PASSAGE is built for RCIC-licensed immigration consultancies. The client details, the case work, the recruitment evidence, the signed retainer and the invoice all hang off one client record, so nothing is typed twice and every date that matters is watched.
A thirty-minute walkthrough against your own files. No card, no obligation.
Illustration with invented data.
The engagement spine
One flow, and a watch on every date in it.
Everything in Passage either moves a client along this path or watches it for a date that is about to turn red.
Invite
Send an onboarding link. The client fills in their own details and uploads their own documents.
Record
The invitation becomes an employer, foreign worker, college or student file.
Engage
A retainer is drafted from your template, priced from your rate card and sent for signature.
Prepare
Cap worksheet worked out, provincial certificate confirmed in force, employer documents collected.
Recruit
A NOC-coded role becomes a compliant advertisement and a Job Bank posting. The 56-day window starts.
File
The LMIA package goes to Service Canada and the file walks the 12-stage pipeline.
Decide & place
Approved, declined or closed. An approval becomes a work permit and a placed worker.
Renew
As a permit nears expiry, renew it, extend it, or file for permanent residence.
The renewal loop. The last step feeds the second: a renewal returns to the record and the flow starts again. That is why a practice keeps using the system after the first filing.
What stops being your problem
The chores that sit between the filings.
The work a consultant is licensed for stays with the consultant. The tracking around it does not have to.
- Chasing documentsClients upload to a link you can revoke. You see who has sent what, and what is still missing.
- Retyping a retainerDetails come from the record. The template and the wording are yours.
- The permit-expiry spreadsheetPermits, passports, certificates and postings that run out are listed most urgent first.
- Working out the cap by handLines A to H per work location, with part-time staff counted as half. You still reconcile against the live filing.
- Agreed work never invoicedA single screen lists retainers that were signed and never turned into an invoice.
Service lines
Choose the lines your practice offers.
Each line switches on the screens, rules and records for that kind of file. A practice takes at least one case line and leaves the rest off.
LMIA & employer compliance
LMIA files walked through a 12-stage pipeline, the cap worksheet per work location, provincial certificates, Job Bank recruitment windows, EMP5575 and EMP5661.
Work permits
LMIA-based, LMIA-exempt, open and post-graduation work permits, with monitoring of the permits already issued.
Permanent residence
Express Entry with CRS Studio, PNP and PR e-APR files, PR card renewal, travel documents and citizenship.
Study permits & colleges
Study permits and PALs, colleges, campuses, programs and enrolments, kept as one dossier per institution.
Community pilots (FCIP / RCIP)
Communities and their EDOs, designated employers, the recommendation and its deadline, and an eligibility checker.
Family & visitor
Spousal, parent and child sponsorship, Super Visa, visitor visas, eTA and extensions, with family members linked.
Protection desk
Refugee files and hearings, H&C, PRRA, TRP, and appeals to the IAD and Federal Court. It tracks deadlines and documents; it does not give legal advice.
Leads & pre-sales
Leads from your website and job fairs, a pipeline for employers and one for foreign workers, and conversion to a client record.
Included with every plan
The essentials are not an add-on.
Records
Employers, foreign workers, colleges and students, each one file with its own retainer and document request.
Onboarding
A link you send; the client fills in their own details and uploads their own documents. Progress is tracked per party.
Documents & e-signature
Your own retainer and agreement templates, merged from the record and signed electronically, with an audit trail.
Invoicing & payments
Rate card to retainer to invoice to payment. A screen for agreed work that was never invoiced.
Reports
Six practice-wide views, exportable to a spreadsheet or printable to PDF.
Lookups
NOC 2021, CMA / CA by postal code, regional unemployment rates, and the relationship map.
English and French
Your practice, and your clients, in either language.
The application, the client onboarding link and the email templates are available in English and French. A practice sets its default language; a client's own record can override it.
Client email · signed document
EN Your signing link still works and now shows the signed copy, ready to download as a PDF.
FR Votre lien de signature fonctionne toujours et affiche maintenant l’exemplaire signé, prêt à télécharger en PDF.
Security & data
Plain about how client records are kept.
Separation between practices
Every record belongs to one practice, and the server decides which practice you are from your session, never from anything the browser sends.
Role-based access
Owner, admin, member and read-only roles. Read-only users cannot write anything.
An audit trail
Calls, emails, notes and signed documents are logged against the file they belong to, so the record of contact is one you can defend.
